BUILT AROUND THE WHOLE HIRE JOURNEYUK · DESIGNED TO SCALE
01 — THE IDEA

Less friction. More flow.

Hire is a moving system.
Your software should move with it.

Nexus is being designed around the whole hire lifecycle. AI should take on repetitive admin and help teams spot what needs attention, while people stay in control of important customer, risk and authority decisions.

02 — THE PLATFORM

One system.
Many moving parts.

A modular foundation for rental teams — designed to connect the desk, the yard, the road and the customer.

03 — AI THROUGH THE HIRE

Less admin at
every hand-off.

The ambition is AI support from first enquiry to final close-out: cut repetitive work, time and labour, and reduce avoidable operating cost while keeping a clear record and giving staff the next useful action.

01 / ENQUIRE

Help customers get to the right hire

Guide vehicle search, answer routine questions, gather booking details and flag missing information for the team.

02 / PREPARE

Organise checks and paperwork

Extract information from submitted documents, coordinate approved verification services, and show staff what is missing or needs review.

03 / OPERATE

Keep the fleet moving

Summarise customer messages, surface work due, and help teams plan vehicle preparation, maintenance and branch workload.

04 / CLOSE OUT

Turn notices into organised cases

Read incoming notice details, find the relevant hire record, gather supporting documents and prepare a case for staff approval.

Our design principle

Automate repeatable administration. Explain what the system has found. Keep people responsible for eligibility, exceptions, disputes and other decisions with real-world consequences.

Planned capability

04 — PCN & AUTHORITY WORKFLOW

Make every notice
traceable.

Notices can mean deadlines, evidence and liability questions spread across email, paper and booking records. Nexus aims to give operators one place to work through each case.

Long-term ambition: help set a clearer operating benchmark and build appropriate ways of working with councils, police and other relevant authorities. Nexus would support operators’ workflows; it would not itself regulate the industry. No formal partnership or live authority integration is being claimed.

01

Capture & classify

Upload or route a notice in; planned text recognition can read key details such as reference, vehicle, date, issuer and response deadline.

02

Match & check

Link it to the vehicle and hire period, then bring together the agreement, driver details and supporting evidence for staff review.

03

Prepare & approve

Create a case pack and draft the relevant response. An authorised team member checks the facts and approves the next step.

04

Submit & track

Record the chosen channel, confirmation, deadlines, replies and appeal status. Digital submission depends on an approved route being available.

Workflow scope may include council parking and traffic notices, toll or road-charge notices, police-issued notices where applicable, and other notice types where the operator is entitled to respond. The process for each authority must be validated before launch.

05 — WEBSITE, BOOKING & GROWTH

A better front door
to the fleet.

The public website and the hire operation should share one source for vehicle availability, pricing and booking status.

01

Discover

Mobile-first vehicle, location and hire information that helps customers find a suitable option.

02

Quote

Show live availability and pricing before asking a customer to create an account; let them build a quote or basket.

03

Complete

Carry the selected vehicle and quote into the customer portal for details, documents, agreement, signature and payment.

04

Learn & improve

Measure enquiries and bookings, improve useful local and vehicle pages, and assess future advertising or booking-channel connections.

06 — ONE FOUNDATION, EVERY FLEET

Made for the many shapes of hire.

From a handful of city cars to a nationwide van fleet, different rental models can work from the same connected core.
